RESERVATIONS & BOOKING CONDITIONS

1. RESERVATIONS Subject to availability your booking will be confirmed when we receive your Booking Form together with a deposit of 20% of the total tour cost. The balance of the full holiday price is due 35days prior to your holiday start date. If the balance is not received by the due date we reserve the right to cancel your booking and apply cancellation charges as in Paragraph 3 below. When  bookings are made  less than five weeks before the start of your holiday full payment must be made when booking. We accept payment in pounds Sterling. Credit card (Mastercard,Visa) and international Maestro/debit payments are accepted with a 1.5% fee to offset bank charges. UK debit cards, no additional fee.

2. GROUP TOURS a minimum number of eight persons one month before departure is required for group tours to proceed. Should cancellation be necessary full refunds will be given. We are not responsible for any other incurred expenses.

3. CANCELLATIONS must always be notified in writing and charges are calculated from the date of receipt as follows:

• Up to 35 days prior to holiday date:- 20% of total cost
• 21 to 35 days prior to holiday date:- 40% of total cost
• 14 to 20 days prior to holiday date:- 60% of total cost
• 1 to 13 days prior to holiday date:- 100% of total cost

4. SECURITY: Scottish Cycling Holidays is a member of the majority of the Regional Tourist Boards in Scotland and also Wild Scotland, the main organisation of activity holiday providers. It adheres to their codes of practice.
As a member of the Association of Bonded Tour Organisers Trust Limited(ABTOT), an association approved by the Department of trade and Industry, this company has provided a bond to meet the the requirements of the Package Travel, Package Holidays and Package Tours Regulations 1992. This bond provides security for money paid over by you and your repatriation in the event of this company's insolvency.

5. TOUR ALTERATIONS: should it be necessary to make alterations to your holiday after your deposit has been received and Scottish Cycling Holidays has confirmed your booking we shall do our utmost to help. However changes of other than a very minor nature will incur an administration fee of £20.00per person.

6. MODIFICATIONS: Scottish Cycling Holidays reserves the right to make minor changes in the itinerary. In the unlikely event of this happening, the customer will be informed as soon as possible.

7. RESPONSIBILITY: Scottish Cycling Holidays does not accept responsibility for death, injury or illness of customers on our holidays. Scottish Cycling holidays does not accept responsibility for the state of roads on our trips. All routes are followed at the rider's own risk. Cyclists must ride in a responsible fashion. Holidays are booked with the understanding that all riders are physically fit and do not have any medical condition which may make physical activity dangerous for them. Cyclists use any transportation provided by Scottish Cycling Holidays at their own risk.
Helmets are not compulsory in United Kingdom but we do strongly recommend their use. For the sake of comfort and hygiene, cyclists are requested to bring their own helmets.
8. PERSONAL INSURANCE: for your safety and convenience we strongly recommend that clients take out holiday insurance to cover yourself for cancellation or curtailment, baggage loss, personal injury and thrid party liability while cycling. For clients booking tours in Europe travel insurance is compulsory.

9. FORCE MAJEURE: Scottish Cycling Holidays cannot accept responsibility for any loss or damage resulting from war or terrorist activities, weather conditions, fire, flood or drought, airport closures, rescheduling of means of transport, or any other eventuality which may delay or extend the holiday
10. COMPLAINTS: we will do our utmost to ensure you have an enjoyable holiday. If you have any problems please contact us immediately and we will do our best to resolve them. Any complaints should be notified to us as soon as reasonably practical and in any event notified to our office in writing within 28 days of the end of your holiday. If, despite our best efforts and having followed the above procedure for reporting and resolving your complaint, you feel that it has not been satisfactorily settled, we recommend that it is referred for arbitration under the ABTOT Travel Industry Arbitration Service. An independent arbitrator will review the documents relating to the complaint and deliver a binding decision to bring matters to a close. Details of this scheme are available from ABTOT, Tower 42, Old Broad Street, London, EC2N 1HQ. This scheme cannot decide in cases where the sums claimed exceed £1500 per person or £7500 per booking form, or for claims which are solely or mainly in respect of physical injury or illness or the consequences thereof.
